CANCELLATION BY THE STUDENT : In case of withdrawal, whatever the reason (except due to changes of conditions of the course by 'The Language Room'), we retain the following amounts: Withdrawal notified to our office more then 45 days before departure, the sum of 300 Euros. Between 45 and 8 days before departure, 50% of the total price. If cancelled less than 8 days before departure, 100% of the price. No refund is to be expected for a session that has been started and then shortened because of the participant or by the decision of their parents (see Section 6). All cancellations must be notified to our office by registered mail. The amount of cancellation fees will be determined by the date of receipt of the mail.
CANCELLATION DUE TO THE ORGANISER: The organiser may exceptionally be forced to cancel a course if the number of students is not reached. In this case, the organiser will inform you in writing within one month before departure, residence may be cancelled and monies paid will be refunded in full. This cancellation may not be made within one month of the date of departure.
LIABILITY INSURANCE: We assume that each participant is covered by personal liability insurance. The Language Room has a public liability insurance in accordance with the laws of the country.
INSURANCE SUPPORT / REPATRIATION: We recommend each participant takes out separate insurance assistance / repatriation to cover medical expenses, hospitalisation and repatriation.
TERMS OF PAYMENT: The deposit must be paid at the time of registration. The balance must be paid not later than six weeks before departure without reminders from us.
TRAVEL: The student will be greeted at the Edinburgh International Airport and should arrive on Sunday before the course begins between 08:00 and 19:00 and depart from Edinburgh International Airport on Saturday after the end of the course between 09:00 and 19:00. An extra night can be arranged at a price of € 50 subject to acceptance by the organiser. (Please refer to the section 'Travel information')
DEPARTURE OF THE STUDENT BEFORE THE END OF THE COURSE:
- All injuries or illnesses reported by the physician of the organiser, preventing the student from participate in sport training but allowing him/her to take part to the English courses but not requiring the departure of the participant will result in a prorated refund for the number of days remaining until the end of the course and this will only be for the sport practice.
- All injuries or illnesses reported by the physician of the organiser and requiring interruption of the course will result in a refund prorated number of days remaining to cover until the end of the course. In this case, parents are responsible to take all appropriate measures to ensure the return of their child during the session immediately and at their expense (see medical insurance / travel).
- Any student voluntarily leaving the centre without medical reasons will not give rise to any refund. In this case, parents commit to take all appropriate measures to ensure the student's immediately return and at their expense (see medical insurance / travel).
LIABILITY : The Language Room and its partners are not liable in case of extreme weather or any event of force majeure.
NIGHTLIFE: The general principle prevails: under 18 students are not allowed out alone at night unaccompanied by an adult. 'Going out'; means to town or away from the host family / residence. It is customary to tolerate reunion of friends at the neighbourhood level. Similarly, students can move between their host family to The Language Room / training centre and return unaccompanied once they know the route and provided the host family is within 1.5 kilometers of The Language Room / training centre. If the distance between the host family residence / residence and The Language Room / training centre is more than 1.5 kilometers, the host family must accompany the student or establish an appropriate alternative system (taxi, car sharing, etc..)
The student and his parents agree to subordinate the decisions to the local leader /school director and the host family. The local leader /school director may cancel or change these if they deem it necessary for safety reasons or discipline, and this can be without notice.
DISCIPLINE : If the group leader and / or our local manager felt they can no longer continue to assume responsibility for a young person whose conduct interferes with the host family and/or other participants, the parents agree to ensure his/her return during the course immediately and at their expense.
Internal Regulations
- The student's participation in sports is mandatory. To practice in a sport, simple rules of hygiene and living should be observed: adequate food, adequate sleep time and no smoking .
- In addition, the organiser, in accordance with regulations concerning the reception of under 18 year olds in its centres, states that alcohol is prohibited and also stresses the prohibition of smoking in public places. More generally, during the course, the organiser prohibits the sale and consumption of narcotics.
- By registering a minor child (less than 18 years old) on a course, the parents, guardians or legal representatives or officials agree the implications of their potential liability and undertake to inform the organisers. The organiser assumes no liability for acts of vandalism, wilful destruction or theft committed by a participant during the course. The organiser disclaims all liability for theft or damage to objects that would have been entrusted.
PHOTO AND VIDEO : During the stay, students may be photographed and filmed. They and their parents agree that these photos and films are used for educational or informational advertising without compensation in brochures or on the website of our partners and The Language Room Ltd.
EMERGENCY: The Language Room has a 24/7 contact number which you can use to contact us in case of an emergency. This number will be given to you prior to the start of a course.
CLAIMS : All claims must be sent by registered post with acknowledgment of receipt within 3 months after the return trip. After this time no applications can be taken into account.
RESERVES: 'The Language Room'; reserves the right to refuse the enrolment of a participant if she/he does not meet the conditions required to take part in the programme. Any false declaration at the time of enrolling may result in the refusal of the applicant or for the participant to be sent back to his/her country - if the course has started - and this at the parents' expense. To take full advantage of a course, each participant must be autonomous and be fit in order to be able to travel and take part in the different activities and excursions. If a participant is not fit or needs special requirements which had not been stated to The Language Room prior to the participant's enrolment, The Language Room may have to refuse the enrolment or to repatriate the participant if the course has began.
We try to put in contact the host family and the participant prior to the course onset; however this is not always possible. Each participant will receive the name and address of their host family before departure. Participants are under The Language Room's supervision from Edinburgh International Airport. The number of hours during the course does not include the breaks and includes tests at the onset of the course (and sometimes at the end of the course)
